CSDC Inter-regional Travel Reimbursement

(Faculty members, postdoctoral fellows, graduate students)

 

Introduction:

It is very important to the Centre for the Study of Democratic Citizenship (CSDC) to foster and encourage collaboration and reciprocal visits among CSDC Faculty, postdoctoral fellow, and graduate student members to CSDC events in Quebec.

Objective:

To support CSDC members to participate in CSDC sponsored or co-sponsored events and workshops in Quebec.

Deadline:

1. Funding request

Inter-regional travel reimbursement requests must be submitted by email to the CSDC (cecd-csdc@umontreal.ca) before the event or workshop takes place.

Funding applications will not be accepted retroactively.

2. Reimbursement request:

The request for payment of the reimbursement must be submitted within four (4) weeks after the event or workshop.

Eligibility:

All CSDC faculty, postdoctoral fellow, and graduate student members are eligible for funding.

Funding:

The CSDC inter-regional travel reimbursement will cover the costs of inter-regional travel (round trip by bus, by train, or by car) and/or hotel accommodation for members. For details and conditions see below.

1. Travel:

The CSDC encourages members to use public transport for travel to CSDC events and co-sponsored events.

Train or bus.:

The CSDC will reimburse the costs of the lowest fare of the train (escape fare) or bus (promo or flex fare)

The reimbursement will cover:

  • the cost of the train ticket at the escape fare (if the escape fare is no longer available, the lower of the economy or economy plus fare is authorized, upon presentation of a screenshot of the website indicating the fare and the availability);
  • the cost of the bus ticket at the promo or flex rate (if the promo or flex rate is no longer available, the lowest of the other available rates is authorized, upon presentation of a screenshot of the website indicating the rate and availability).

Please note that the CSDC does not refund business class.

Use of personal automobile or rental car:

If a personal vehicle or a rental vehicle is used, the CSDC pays the following allowances for:

Note: if the event takes place elsewhere in Quebec, the CSDC will establish an amount

The CSDC reimburses one parking fee (either at the hotel or the venue of the event) per event.

2. Accommodation:

The CSDC will cover the costs of one-night hotel accommodation if the event or workshop is less than 400 km (linear distance)  from the graduate student or postdoctoral fellow’s university; if the distance is greater than 400 km (linear distance) then two-night accommodation will be covered.

If the event takes place over several days, accommodation will be covered depending on the duration of the event.

The CSDC has preferred rates at the following Montreal hotels: Château Versailles, SENS Hotel, Terrasse Royale. For events in Montreal the CSDC may be able to reserve rooms at the partner hotels and the CSDC will be invoiced.

If a member reserves their own room, the CSDC reimburses up to the following amounts.

Hotel May – Oct. 2023 Nov. 2023 – April 2024 May – Oct. 2024 Nov2024 – April 2025
Per night single occopation $ 175 (plus taxes) $ 150 (plus taxes) $ 175 (plus taxes $ 150 (plus taxes)

 

Whenever possible, we encourage graduate students and postdoctoral fellows to share a room.

REGISTRATION:

Prior to the event send an email to cecd-csdc@umontreal that includes

  • Name, location, and date of event
  • Request for hotel accommodation if the event is in Montreal

Reimbursement:

Within 4 weeks after the evenement has finished send to cecd-csdc@umontreal:

  • Train or bus invoice and proof of payment
  • Boarding passes (if applicable)
  • Google map (if applicable)
  • Hotel invoice and proof of payment (if applicable)

Note: the CSDC does not reimburse local transportation or meals.

Incomplete submissions:

All applicants are strongly advised to carefully read and follow the instructions and requirements outlined in the Guidelines.
